Free resourceThe AI employee audit.
A 20-minute self-audit to find exactly where an AI employee belongs in your business — before you build anything, hire anyone, or spend a dollar on tools.
Why audit before you build
Most AI effort fails for one reason: it starts with the tool, not the work. Someone gets excited about an AI feature and goes looking for a place to use it. That's backwards. The audit below starts with your actual operations and works forward to where AI earns its place — which is exactly how we start every engagement at The Upgrade Studio.
List the repeatable work
Grab a blank page. List every task, in any part of the business, that you or your team does more than once a week in roughly the same way. Don't filter yet — write down everything: email triage, status updates, data entry, follow-ups, scheduling, content drafts, reporting, research, customer replies. Aim for at least 15.
Score each one on four things
For every item on your list, rate it against these four questions.
How often does this happen? Daily, weekly, or monthly?
Roughly how many hours a week does it eat, across everyone who touches it?
Could you write the steps down well enough for a new hire to follow with minimal training?
If this were done slightly wrong sometimes, what actually happens?
Find your first build
The best first AI employee is the task that scores: high frequency, high time cost, high clarity, low-to-medium risk. That combination is the whole case — lots of hours going into something well-documented enough to hand off safely. Skip anything with high risk and low clarity for now; that's judgment work, not automation work.
Write the role, not just the task
Once you've picked a candidate, don't think of it as "a prompt." Write it like a job description: what does this role own, start to finish? What does it hand off, and to whom? What does "done well" look like? That's the difference between a chatbot nobody opens and an AI employee with real responsibilities.
This audit gets you about 80% of the way. The other 20% — actually building and training it on your real operations — is the part worth getting right.
You've mapped it.
Now let's build it.
Bring your audit to a Strategy Session and we'll turn your top candidate into a working AI employee — trained on your real operations, not generic prompts.
